POSITION SUMMARY: The Executive Assistant provides high-level administrative support to the Chief Operating Officer, Chief Credit Officer, and other organizational leaders.

PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES:
Operations Support:

• Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for assigned leadership staff.
• Creates reports in Microsoft Excel, at the direction of COO and/or Director of Retail Banking.
• Answers and transfers phone calls, screening when necessary.
• Provides back-up support for welcoming/greeting visitors. Assists with directing customer traffic.
• Schedules and attends meetings, prepares meeting agendas, takes meeting notes, and records meeting minutes. Reserves conference rooms, as needed, and coordinates calendars for meeting attendees. Coordinates travel, when necessary.
• Maintains calendar of assigned leaders.
• Maintains office supplies and coordinates maintenance of office equipment for Operations area.
• Assists with Project Management. Conducts follow-up calls and communication to monitor progress and status of projects on behalf of the EVP/COO.

Credit Support:_

• Uses company technology to transcribe written comments onto weekly loan register for Senior Loan Committee meeting.
• Assembles and distributes packets for Loan Committee members.
• Print and distributes loan presentations for Senior Loan Committee members.
• Functions as an alternate for loan advances - organizes approval and supporting documents, prepares tickets, obtains signatures, and takes to tellers for processing.
• Serves as an alternate for insurance - checks daily mail, looks up loan numbers, checks coverage amount.
• Provides back-up assistance for dictation.

Other Responsibilities:_

• Provides administrative support to President and CEO when he is working from the Stillman Valley location.
• Other duties as assigned.

EDUCATION, EXPERIENCE AND SKILL REQUIREMENTS:*

• High school diploma required; Associates degree or higher in Business Administration or related field preferred.
• At least four years of related experience required. An equivalent combination of education and experience will be considered.
• Efficient, helpful and professional customer interpersonal and communication skills.
• Computer software aptitude for core banking system and other internet-based applications.
• Demonstrated mastery of Microsoft Office Suite, including Excel, Word, and Outlook.
• Strong basic math and data entry skills.
• Strong problem-solving, analytical and organizational skills.
• Ability to work productively and independently with minimal supervisory overview.
• Working knowledge of banking regulations and compliance is preferred.
• Ability to recognize issues of significance and prioritize assignments.
• Service-oriented

PHYSICAL REQUIREMENTS:*
Work is performed largely within the Bank with limited chance for personal injury. Prolonged and frequent mental and visual concentration required. Periodic stressful situations in response to multiple priorities within established deadlines. Work hours are generally during normal business hours. Must be able to lift and move up to 20 pounds of office supplies and equipment. Some bending, turning, and twisting required. Serves as a representative of the organization at appropriate functions.
