Job Description :
Handles all administrative duties for the Bright Angel Restaurants. Requires strong organizational skills as well as ability to handle multiple tasks and deadlines for the Unit Manger and other Managers in the Bright Angel Restaurants.
- Responsible to do the tasks as assigned by Unit Manager, Bright Angel Restaurants.
- Handle Cash and Telephone traffic for F&B Office in a courteous and professional manner
- Manage daily incoming and outgoing correspondence including inter-office mail and postal mail.
- Handle written correspondence including memos, expense reports and correspondence for Bright Angel Restaurants.
- Record and complete new roster placements for incoming employees, working with F&B Admin Office to ensure staffing levels are correct and up to date.
- Generate, file & track termination forms for Bright Angel Restaurants Employees.
- Notify Unit Manager of all upcoming annual reviews, track completion and ensure change of status for wage increases are completed correctly in a timely fashion.
- Maintain spreadsheets of purchase requisitions and keep track of inventory for Bright Angel Restaurants.
- Maintain departmental files of employee forms including, absence/vacation, FMLA, LOA, change of status, accident reports, medical releases, written actions, annual reviews, supervisor’s critiques, termination forms, unit orientation checklists and mandatory trainings.
- Maintain confidential departmental manager files and monthly budget files for Unit Manager.
- Troubleshoot office equipment and order office supplies for Bright Angel Restaurants.
- Prepare and submit all Special Rate Requests for employees of Bright Angel Restaurants with F&B Admin Office for Grand Canyon Rail Train Ride.
- Conduct employee satisfaction survey on Employee Dining Room periodically.
- Work with management team to develop annual F&B food and liquor specs for Bright Angel Restaurants, maintain complex spreadsheets for ingredients and pricing, budgeted percentage, input comparability information and prepare report for submission to National Park Service and later to managers within F&B Department.
- Assist F&B Admin Office with preparation for restaurant menus, bar & wine menus, tabletop menus, specialty menus and work with management team.
- Work with Management Team to input annual holiday specs and produce necessary menus and supporting materials for rim restaurants and cafeterias.
- Responsible for purchasing holiday decorations for Bright Angel Restaurants and Employee Holiday parties within budgeted figures.
- Act as the main contact for events in Bright Angel Restaurants. Correspond with guests, other Departments, and F&B Admin Office. Coordinate all décor, menu preparation and seating arrangements.
- Other duties as assigned.
Qualifications:
- Excellent telephone answering and call handling skills.
- Demonstrated competence with Windows based software including Microsoft Office, Word and Excel.
- Publisher Software experience is preferred.
- Ability to handle confidential materials and maintain confidentiality.
- Excellent written and verbal communication skills and an ability to deal professionally with internal and external stakeholders.
