The primary function of the Administrative Assistant is to support the Operations office in execution of the goals of the school. The Administrative Assistant is responsible for supporting operations, admissions/development, and programming functions. The Administrative Assistant performs general office work including general accounting functions, mailings, data entry, answering telephones, filing, creating, and preparing reports, receiving and recording of donations and other various duties. This position assists with building strong community, visitor, student, and donor relationships. This position reports directly to the Director of Administration.
QUALIFICATIONS/EDUCATION:
DUTIES AND RESPONSIBILITIES:
Operations Support
Board of Directors, School Program Advisory Board (s) and Leadership team - coordinate agendas, materials, and minutes for all meetings.
Responsible for all front office reception. Answer phones, greet visitors, respond to student, and staff concerns.
Maintain business files including address and postal databases.
Assist in maintaining student files and record keeping to accreditation standards
Process incoming and outgoing mail
Make travel arrangements in accordance with the School’s travel and expense policies
Maintains Operations Manual.
Performs general accounting functions
Prepares, submits and tracks accounts payable/accounts receivable.
Track and reconcile credit card statement
Maintains accurate accounting records including inventory management.
Coordinates technical support for students and staff as needed.
Registration of ancillary programming participants
Ordering for retail sales and giveaways for development and admissions.
Friday Summer Tours
Other duties as assigned by the Director of Administration.
Admissions/Development Support
Respond to student/donor inquiries via phone, mailings, social media and website.
Track and coordinate student admissions/donor materials and files.
Responsible for SIS/CRM database entry and reporting including maintaining admissions status in SIS.
Assist with scheduling prospective student/donor visits and interviews.
Provide support in preparation of student/donor communication and presentation materials
Assist in coordinating volunteer activities.
Assist in organizing student events (orientation, holiday party, graduation) and open house events. Assist special event committees (Beer Fest, etc.)
