POSITION TITLE: EXECUTIVE ASSISTANT – FINANCE AND LOGISTICS

REPORTS TO: GENERAL MANAGER

TYPE & LOCATION: FULL-TIME SALARY POSITION. LAUREL FOODS FACILITY, HILLSBORO, OR.

POSITION SUMMARY: Laurel Foods is a growing value-added food processing company located in the fertile Willamette Valley of Oregon, owned by a significant Oregon Hazelnut grower and processor. We specialize in a variety of Premium Oregon Hazelnut products, both in bulk and in consumer-packaged goods. Our 28,000 square- foot facility is in the rural farming community of Laurel, Oregon - just south of Hillsboro. We strive to make the highest quality products that look and taste great. The company is looking for an Executive Assistant – Finance and Logistics to assist in all the financial needs of the company. The Executive Assistant – Finance and Logistics will be responsible for many of the financial responsibilities at Laurel Foods as well as logistics and shipping, working closely with the General Manager. This to include accounts payable/receivable, production costing, financial reporting/analysis, and record-keeping. This position can grow into a managerial role as the organization expands.

POSITION REQUIREMENTS:

• Highly developed leadership skills with the ability to build, lead, and develop a team.
• Excellent communication skills.
• Ability to effectively collaborate within the organization as well as work independently.
• Ability to maintain strict confidentiality.
• Ability to read, write, and understand English (without an interpreter).
• Able to work at a desk for extended periods of time. Able to lift 25 pounds without assistance.
• Must be willing to work at the facility in rural area south of Hillsboro.

QUALIFICATIONS:

• Bachelor’s degree or higher in Business, Accounting, or related field.
• 1-2+ years accounting experience required, experience with management of a team a plus.
• Proficient in Microsoft Suite of Tools (PowerPoint, Excel, Word, Outlook, etc.).
• Prior experience with ERP/MRP systems.
• Experience with Intuit QuickBooks or similar financial management software.

DUTIES OF THE EXECUTIVE ASSISTANT – FINANCE AND LOGISTICS INCLUDE:

FINANCE/BOOKKEEPING

• Management of Accounts Payable; handle outgoing payments, manage expenses, enter bills correctly, respond to inquiries from vendors, create journal entries
• Management of Accounts Receivable; ensure accuracy and timely dispatch of all invoices, process all incoming receipts, manage aging receivable collections
• Perform product cost analysis and maintain cost history of production
• Track and Report key metrics of production to identify cost savings
• Reconcile and balance monthly bank statements
• Reconcile and process monthly credit card statements
• Maintain organization and proper record-keeping of financial records
• Assist with payroll as needed
• Assist with cash flow management
• Assist with month-end close activities
• Assist with audits and other ad hoc projects

LOGISTICS/FULFILLMENT

• Assist with arrangement of shipping for LTL and FTL shipments as needed
• Receive and schedule shipments as needed
• Receive and create sales orders, ensure accuracy

COMPENSATION: This is a full-time salaried position starting at $45,000 to $55,000 DOE. Pay periods are bi- weekly.
